Terms of Service
Last updated: May 13, 2026.
These terms govern your use of ChurchPortalKit.AI ("ChurchPortalKit", "we"). By creating an account or clicking "I agree" during checkout, you agree to be bound by them on behalf of your church or organization ("you").
1. The service
ChurchPortalKit is a software-as-a-service captive portal. We host the portal pages, the admin dashboard, and the background jobs that sync your guest check-ins to Planning Center Online and authorize devices on your router.
2. Your account
- You are responsible for the security of your admin credentials.
- You may invite teammates via the Team page. Each teammate gets the admin role by default.
- You will not share login credentials. Each person should have their own account.
3. Acceptable use
You will use ChurchPortalKit only to operate guest Wi-Fi check-ins for your own organization. You will not:
- Resell access without a separate written agreement
- Use the platform to collect data for unrelated commercial purposes
- Attempt to access another tenant's data, probe our infrastructure, or circumvent rate limits
- Send SMS or email to guests without the consent the law requires (CAN-SPAM, CASL, TCPA)
- Use the platform for any unlawful purpose
4. Billing
- New accounts get a 30-day free trial. No charge during the trial.
- After the trial, subscriptions renew monthly unless canceled.
- Plan switches are prorated by Stripe to the next invoice.
- Cancellation: you can cancel at any time from the billing page. Service continues to the end of the current paid period.
- Refunds: we don't refund partial months. If you cancel mid-month, you keep service through that month.
- Hardware bundles ($399) are non-refundable once shipped.
5. Your data, your guests' data
You are the data controller for guest information collected through your branded portal. We are the data processor. See the Privacy page for what we process and why.
You agree to display a reasonable notice or acceptable-use prompt on your portal splash (the "Terms / acceptable-use body" field in Branding). Default copy is provided; you may customize it.
6. Service availability
We target 99.9% monthly uptime. Maintenance windows are announced via email. Force-majeure events (Stripe outage, Planning Center outage, ISP issues at your church) are excluded from the SLA. We do not provide service credits in v0.1; contact us if a sustained outage materially affects your weekend service.
7. Limitations of liability
The service is provided "as is". To the maximum extent permitted by law, our aggregate liability for any claim is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, or consequential damages.
In particular, we are not liable for: missed Planning Center records during a PCO outage, guest data captured during a portal misconfiguration on your side, or interruption of guest internet during a router/ISP fault.
8. Termination
You may terminate at any time from /dashboard/settings (Danger zone). Termination cancels your Stripe subscription, removes the Clerk organization, and soft-deletes your tenant data. Data is preserved for 30 days in case you change your mind, then permanently dropped.
We may terminate for material breach of these terms (acceptable use, non-payment after reasonable notice). We will give you 14 days written notice and a reasonable window to export your data first.
9. Changes to these terms
We may update these terms. Material changes will be emailed to your admin email at least 14 days before they take effect.
10. Governing law
Washington State law, exclusive jurisdiction in King County, Washington. (We're based in the Seattle area.)
